The July Power BI update included a gradient legend for visualizations using gradient colors.  Conditionally format your visuals to scale the color from light to dark to highlight important values with Power BI gradient colors.  In addition, you can add a third color to highlight the middle ranges.  Power BI gradient colors can be added using rules.  This enables you to create stoplight coloring on values to further enhance your reports.

Power BI What If Example Using Sales Data

If you have not tried to use the Power BI What If feature, this blog post is for you.  Change how your users perform analytics with simple sliders that let them change the values in their reports to see potential impacts of decisions.  By adding in the What If parameter you enable your analysts, managers or anyone else the ability to not just look at the data but to truly do more with their data.  Common use cases are forecast vs actual, sales quota changes, sales unit changes, call center volume changes, health care claim forecasts.  Once you see what you can do with this feature, I’m certain you will find applications for it in your organization.

Power BI What If Step by Step

In this example, I am going to show you how to use 2 What If parameters in the same Power BI Desktop report.  As a sales manager, I want to be able to increase my sales forecasts from 0-10% as well as see the impact on only a single region.  You can download the file here Sales Example File

Step 1 – Power BI Desktop What If Parameter

Open Power BI Desktop and click on the Modeling tab in the ribbon, then select the New Parameter (highlighted in yellow)

The What If Parameter window is displayed for you to enter your values.  Note, you have to use numerical values in Power BI What If scenarios.

Now to create values from 0-10% fill out the What If Parameter with the following values:

Format the SalesImpact field as a percentage and then you will see a slider bar with the values 0% to 10%:

Now create another What If Parameter following the same process name Region with values from 0-3, as shown below:

Now we want to add new measures to leverage the sliders that were just built.

First add a Measure named SalesImpact with the following DAX.

Publish to Power BI to Share Your Reporting

In order to share your reporting and create dashboards you need to publish to Power BI service to share your work.  Power BI desktop enables you to connect to data, model your data and build data visualizations.  Once you are ready to share your reporting connecting to Power BI in the cloud is the next step.

How to Publish to Power BI Service

In Power BI Desktop, it’s a very straight forward process to publish your reporting.  Each Power BI file needs to be published when you are ready.  Likewise, as you make changes to your local .pbix files, changes will need to be republished to PowerBI.com.

First, open the report that you want to publish to Power BI.  Then on the Home ribbon select the far right Publish button as shown below:

Next, you will need to select the workspace or App where you want to deploy your report.  If you do not have the App already created, you need to create the App in PowerBI.com first.  In this example, I will publish to My workspace.

Once selected, Power BI will begin to upload the .pbix to Power BI in the selected location.

Once completed you will see the following screen that lets you know the report was published successfully.

You have now published to Power BI and can open  you report right from this window to access your report.

Please note – If you have previously published a report, you will see an option to replace the data.  If your data did change, you should select this.  If you only updated the visualizations you can skip the refresh.

Integrate Your Data in Power BI Desktop

Unlock your data by combining data inside of Power BI Desktop using Power Query.  Power Query is the internal ETL solution that enables fast and flexible data transformations to wrangle your data and get the data you need without having to request additional resources to curate and model the data.

Basic Views in Microsoft Power BI Desktop

Report View

Report view is where you create reports by dragging visualizations onto the Power BI Canvas and then selecting the data from the fields available.  Add data visualizations, resize, move and arrange them to get better insights into your data.  Apply filters to limit the data shown such as a date selector.  Build a report with many pages that let you examine your data in greater detail.  Features such as drill-thru and filtering in Power BI let you find the data you need with self-service analytics. Create easy to read dashboards that include KPIs and card visuals to highlight actual vs target.

Data View

In the data view you will see your data similar to Excel.  If you have multiple data sources, each one will be a table.  Select each table one by one to explore the data to ensure you have what you need.  Add DAX in Power BI to create columns or measures.

Model View

The model view is only used it you have more than 1 data table and you need to create relationship between your data.  For example, you could pull customer information from your CRM and Billing information from another system.  As long as you can link on common key.  Power BI would then be able to filter the data in the report, automatically by simply clicking on data visualizations.

Power Query

Use Power Query to transform you data with a variety of built in solutions.  Common operations include, removing rows or columns, replacing values, changing data types.

Building Reports with Power BI

Microsoft Power BI Desktop Options and Settings

Very important for new Power BI developers is to understand the Power BI Desktop Options and Settings.  The options is were you enable or disable new features and settings.  Often Microsoft will rollout a preview feature and add it to the Global settings under Preview Features.  In order to take advantage of these new enhancements you need to turn them on.  Take some time and explore this area of Power BI.  Your time spent will be well worth it.

To access the Options:  Open Power BI Desktop, click on File > Options and Settings.

Then review the available options.  You will notice you have both Global and Current File settings.  When you change the current file settings it only applies to this .pbix file.  This is handy when you need to save regional settings or tweak settings based on a special report.
