Enable Self Service Analytics in 8 Hours or Less

Self Service Analytics in Bite Size Projects

Executives today need answers quickly with data they can trust.  After working in companies and seeing the challenges of getting funding for business intelligence or data projects.  CDO Advisors has setup a new type of BI and Self Service Analytics solution, BI as a Service.

Get projects done with a low monthly payment that locks in your BI expert and the hours you need to make progress on BI projects quickly each month.  No money spent on project management or implementation fees!  Just expert data consulting to automate reporting and dashboards that enable self service analytics.

Self Service Analytics in 8 Hours or Less

8 hours!  What can possibly be done in 8 hours to drive my self service analytics forward?  The short answer is a lot.  When you have a expert data professional focused on the data and projects you need.  Data can be transformed into online reporting and dashboards solutions that your entire company can leverage.

Start with quick wins that take data from existing Excel or CSV files that can be used as sources of information.  Then we model that data and automate a solution to delivery online self service analytics and dashboards.

Each month by focusing on critical metrics and reports you will build out your analytics environment at a consistent pace delivery value at each step.

Transform Your Company with Self Service Analytics

Do you start your workday wondering what you sales or operations numbers were for the prior day?  Are you relying on employees to pull data and manipulate your data in Excel to create a “report”?  If so, enabling self service analytics is available to companies of all sizes in terms of revenue or employees.  Many companies don’t have a dedicated team of reporting and analysts that can pull data and create automated reports that drive critical insights.  Others lack the funding to invest in a large CapEx project to drive a new BI project forward.

  • You want to KPIs and Metrics easily available
  • You need results in weeks
  • You have finite analytics resources that are over capacity
  • You have existing BI solutions but still have gaps in your departmental reporting
  • You don’t have funding for large expensive data projects

Examples of 8 Hour Self Service Analytics Projects

Below are a few examples of what can be done in as little as 8 hours.

  • Automation of data extracts from an application to an online dashboard
  • Leveraging Excel files to automate reporting and free up manual processing
  • What if Analysis added to online dashboard
  • Implement Power BI in a new enrivonment
  • Assessment of existing Reporting environment

How to Use Power BI Gradient Colors and Legend

Enhance Power BI Gradient Colors and Legend in Your Reporting

The July Power BI update included a gradient legend for visualizations using gradient colors.  Conditionally format your visuals to scale the color from light to dark to highlight important values with Power BI gradient colors.  In addition, you can add a third color to highlight the middle ranges.  Power BI gradient colors can be added using rules.  This enables you to create stoplight coloring on values to further enhance your reports.

Power BI Gradient Tutorial Video

To see how to enable Power BI gradients as well as enable the legends to show range bands.  Watch my YouTube video and see step by step how to change your reporting colors to leverage gradient colors.

Gradient legends can be enabled on the following charts:

  • Stacked bar chart
  • Stacked column chart
  • Clustered bar chart

Unlock Your Data with Power BI Healthcare Dashboards

Healthcare organizations have a variety of data from both internal and external sources.  Using a Power BI healthcare dashboard can reduce complexity in using your data and enable self-service analytics.  Merge data from across your enterprise and gain new insights like never before.  Visualizing your data enables everyone to spot trends, outliers or issues in your operations.

Power BI Dashboards can be created quickly and automate data refreshes to reduce manual reporting.  Common uses are to automate data extracts from financial systems, import data from curated Excel files, claims or EHR systems.  If your can access your data, you could visualize it in a Power BI healthcare dashboard.  Merge data, clean it quickly and improve your operations.  No longer do you need to email your files to everyone.  Publish your reports and dashboards online in a secure environment that can be accessed from a computer or mobile device.  Can you currently get your daily KPIs on your phone?  If not, you are behind your competition.

Combine Data in a Power BI Healthcare Dashboard

Common use cases for healthcare dashboards include pulling system data, external data and internal manual data.  If you are patient focused merging data from EHRs, payments and clinical systems can create a 360-degree patient view.  For payer, merging data from claims, clinical notes or 3rd party data processing enable a 360-degree member view.  Create different online Application containers for areas such as Members, Finance, Claims, Utilization Management, Marketing or Call Center.  This makes it easy for users to find the data they need and actually empowers everyone to see the same data to make better decisions.

Stop wasting time looking for data and then applying macros or merging data to get to what you really need.  Online Power BI Healthcare Dashboards are built on automated processes that do the ETL work before you need the data.  Spend your time interpreting data and improving your business, instead of struggling to find it.

Increase Reporting and Data Efficiency

Healthcare Analysts struggle with quickly finding, analyzing and providing the data requested to their users.  They are constantly being asked to find, merge, and produce both ad-hoc and standardized reporting.  While not all requests can be turned into a online automated dashboard.  Many of the common questions that healthcare organizations have can be produced and shared via online reporting and dashboards.  Once the data is setup as an automated process your business team can access it without needed to enter a ticket or email the team to ask for data.  Likewise, automation frees up your healthcare analysts to spend their time on higher level tasks of interpreting the data and not focused on finding and wrangling the proper data.

Power BI What If Example Using Sales Data

If you have not tried to use the Power BI What If feature, this blog post is for you.  Change how your users perform analytics with simple sliders that let them change the values in their reports to see potential impacts of decisions.  By adding in the What If parameter you enable your analysts, managers or anyone else the ability to not just look at the data but to truly do more with their data.  Common use cases are forecast vs actual, sales quota changes, sales unit changes, call center volume changes, health care claim forecasts.  Once you see what you can do with this feature, I’m certain you will find applications for it in your organization.

Power BI What If Step by Step

In this example, I am going to show you how to use 2 What If parameters in the same Power BI Desktop report.  As a sales manager, I want to be able to increase my sales forecasts from 0-10% as well as see the impact on only a single region.  You can download the file here Sales Example File

Step 1 – Power BI Desktop What If Parameter

Open Power BI Desktop and click on the Modeling tab in the ribbon, then select the New Parameter (highlighted in yellow)

CDO Advisors Power BI What If Example

The What If Parameter window is displayed for you to enter your values.  Note, you have to use numerical values in Power BI What If scenarios.

CDO Advisors Power BI What If Default Window

Now to create values from 0-10% fill out the What If Parameter with the following values:

CDO Advisors Power BI What If Sales Impact Values

Format the SalesImpact field as a percentage and then you will see a slider bar with the values 0% to 10%:

SalesImpact What If

Now create another What If Parameter following the same process name Region with values from 0-3, as shown below:

What if Region Values

Step 2 – Building the Power BI What If Report

Now we want to add new measures to leverage the sliders that were just built.

First add a Measure named SalesImpact with the following DAX.

SalesImpactMeasure = SalesImpact[SalesImpact Value]*sum(Sales[Units])
This measure takes the total units sold and multiples it by the value on the SalesImpact What If Slider.
Now create a new measure named New Sales Unit Forecast.
New Sales Unit Forecast = Sales[SalesImpactMeasure]+sum(Sales[Units])
This measure adds the additional sales to the total units.
Now create a new Measure to only apply the sales increase to the selected region.
Forecast Impact by Region = SUMX(FILTER(Sales,Sales[RegionID]=Region[Region Value]),Sales[Units]+Sales[SalesImpactMeasure])
This measure uses the region filter and adds the impacted sales to the selected region.
Now we can build a report that uses all of these measures and What If parameters to change the values on the report dynamically.  In the visual below, you can see the impact of a 5% change on Region 2 (East).

Use Power BI Snowflake Connector to Visual Your Data

Build Power BI Snowflake Based Reports

In this post I will walk you through the steps required to use the Power BI Snowflake Connector to access data in a Snowflake warehouse.  If you are new either Power BI or Snowflake this will be a quick reference for you to make the connection and where to find the server name.

Step 1 – Open Power BI and then select Get Data to see the available data connectors.  Type “snowflake” in the search box to bring up the Snowflake connector as shown below.

Power BI Snowflake Connector Settings

Now you need to input the connection string and warehouse that you would like to connect to.  To determine your Snowflake instance, login to your Snowflake account and then navigate to your Warehouses.  In the screenshot below you can see the URL, copy the string to be used as the server name in the connector ending at snowflakecomputing.com.  My Snowflake instance is setup on Microsoft Azure so my server string looks like this:

For example server name –  zz123456.west-us-2.azure.snowflakecomputing.com

Warehouse name – COMPUTE_WH

Then hit Connect to proceed to the login screen.

Enter your Snowflake user and password.  When successful you will then see the databases and tables available for use in Power BI.

Select Tables from Snowflake in Power BI Desktop

Now that you are connected and authenticated, you will be able to select the data you want to visualize in Power BI.  Just like the other data connectors, a list of available database and tables are shown.  Select the objects that you need and then click Load.

Once connected, you can use the data just like any other data source such as add relationships, create new columns, measures.  Then start building your reports and data visualization in Power BI Desktop.

This completes the steps you need to use to access data with the Power BI Snowflake Connector.

Publish to Power BI to Share Your Reporting

In order to share your reporting and create dashboards you need to publish to Power BI service to share your work.  Power BI desktop enables you to connect to data, model your data and build data visualizations.  Once you are ready to share your reporting connecting to Power BI in the cloud is the next step.

How to Publish to Power BI Service

In Power BI Desktop, it’s a very straight forward process to publish your reporting.  Each Power BI file needs to be published when you are ready.  Likewise, as you make changes to your local .pbix files, changes will need to be republished to PowerBI.com.

First, open the report that you want to publish to Power BI.  Then on the Home ribbon select the far right Publish button as shown below:

Publish to Power BI CDO Advisors

Next, you will need to select the workspace or App where you want to deploy your report.  If you do not have the App already created, you need to create the App in PowerBI.com first.  In this example, I will publish to My workspace.

Publish to Power BI Select Destination CDO Advisors

Once selected, Power BI will begin to upload the .pbix to Power BI in the selected location.

Dashboard Publishing In Progress CDO Advisors

Once completed you will see the following screen that lets you know the report was published successfully.

Publishing to Power BI Completed CDO Advisors

You have now published to Power BI and can open  you report right from this window to access your report.

Please note – If you have previously published a report, you will see an option to replace the data.  If your data did change, you should select this.  If you only updated the visualizations you can skip the refresh.

3 Types of Dashboards Executives Need Today

3 Types of Dashboards that Executives Need Now

In this blog, we will be doing a quick review of the benefits associated with each of the 3 types of dashboards to determine which is right for your business. The common dashboards are operational, strategic, and tactical. To learn the basics of dashboards, refer to our previous blog detailing the properties of dashboards in Power BI.

Operational Dashboards

An operational dashboard is a tool that is used to monitor business processes that fluctuate constantly and the current performance metrics vital to your business. These dashboards often update on a minute to minute basis providing the most accurate and up to date information. Operational dashboards frequently used to monitor a company’s progress towards a specific metric or goal, usually a specific department or branch.

  • Azure Monitor tracks the usage and capacity of Azure applications
  • IndustrySafe provides up to date safety metrics to prevent workplace accidents

Strategic Dashboards

A strategic dashboard is typically used by high ranking individuals within a company to track vital metrics to a company’s bottom line otherwise known as KPIs or key performance indicators. However, these dashboards are updated less often as they provide business-wide metrics to track progress towards long term goals.

  • Zoho CRM has strategic dashboards that track sales and marketing metrics to ensure future goals are tracked and met

Tactical Dashboards

Tactical dashboards also known as analytical dashboards, are the last of the types of dashboards and are the best for decision making as they tend to be the most analytical.  They  are primarily used to identify trends or ratios both inside and outside a business. They are helpful for tracking goals and new programs, often useful for predicting how a new initiative affects the KPIs of a company.

  • Airtable uses the dashboard below to manage projects with efficiency
  • Google Analytics one of the most popular dashboards ever allowing business owners to track their online growth

In this guide, we have identified the roles of each types of dashboard and their common uses.  If you are looking for dashboards to improve your business, we leverage Microsoft Power BI.  We hope you can use this guide to further your business with analytics.  To learn more about dashboards stay tuned for our future guides or go to our website at https://www.cdoadvisors.com/.

Introduction to Business Dashboards

What are Business Dashboards?

Just like your car, a business dashboard collects in one location all of the critical information you need to run your business.  A management or executive dashboard should be easily accessible and like an automotive dashboard organizes and visually displays your data from various sources in one location.  They are critical for business intelligence solutions and enable self-service analytics for your employees.  If your employees do not know how you are performing against KPIs they are unable to make the best decision to improve performance.

Why You Need Business Dashboards?

Dashboards differ from traditional reporting in many ways.  First they are designed to visually see lots of data in a single location.  Management dashboards mash up data from your various sources to make it easy to for you to monitor your business.  Easily merge KPIs from you various departments into a single organization view.  No longer do your management team need to spend time putting together PowerPoints or send files or updates so you know how business units are performing.  Get instant secured access to your business drivers, see your data via the cloud or mobile app.  No VPN required.  Hold your team accountable, monitor your data and improve your business.

We build our business dashboards on Microsoft Power BI, a leader in the industry for BI, data visualization and analytics.

Elements of a Business Dashboard

Dashboards allow you to mashup data from internal or external sources to a single location.  They are designed to show the best available information required to make decisions.  Easily spot trends, patterns and outliers in your data.

Data Sources

Business dashboards start with data.  You can connect one or many data sources into your dashboard.  Common data sources include files such as Excel, csv, databases or online APIs.

Visualizations

Rather than look at data as just columns and rows.  Dashboards enable you to view your data visually which makes it easier for you to determine what is really going on in your business.  Our brains are wired to process images and patterns faster than a data grid.  Choosing the right visual is critical and depends upon your end results.

Filters

Self-service BI dashboards enable your team to find the data they need without extra coding or re-work.  Filtering occurs in 2 ways, you can filter the information on the page in the dashboard.  Or you can filter by clicking on the visualizations and then the other visualizations will change.  For example, if you have sales dashboard.  Clicking on a product, would filter all of the other visuals to show only metrics for that product.

Microsoft Power BI enables all of these features and is the most cost effective solution for your business.

Integrate Your Data in Power BI Desktop

Unlock your data by combining data inside of Power BI Desktop using Power Query.  Power Query is the internal ETL solution that enables fast and flexible data transformations to wrangle your data and get the data you need without having to request additional resources to curate and model the data.

Basic Views in Microsoft Power BI Desktop

Report View

Report view is where you create reports by dragging visualizations onto the Power BI Canvas and then selecting the data from the fields available.  Add data visualizations, resize, move and arrange them to get better insights into your data.  Apply filters to limit the data shown such as a date selector.  Build a report with many pages that let you examine your data in greater detail.  Features such as drill-thru and filtering in Power BI let you find the data you need with self-service analytics. Create easy to read dashboards that include KPIs and card visuals to highlight actual vs target.

Power BI Desktop Report View

Data View

In the data view you will see your data similar to Excel.  If you have multiple data sources, each one will be a table.  Select each table one by one to explore the data to ensure you have what you need.  Add DAX in Power BI to create columns or measures.

Power BI Desktop Data View

Model View

The model view is only used it you have more than 1 data table and you need to create relationship between your data.  For example, you could pull customer information from your CRM and Billing information from another system.  As long as you can link on common key.  Power BI would then be able to filter the data in the report, automatically by simply clicking on data visualizations.

Power BI Desktop Model View

Power Query

Use Power Query to transform you data with a variety of built in solutions.  Common operations include, removing rows or columns, replacing values, changing data types.

Microsoft Power BI Desktop Options and Settings

Very important for new Power BI developers is to understand the Power BI Desktop Options and Settings.  The options is were you enable or disable new features and settings.  Often Microsoft will rollout a preview feature and add it to the Global settings under Preview Features.  In order to take advantage of these new enhancements you need to turn them on.  Take some time and explore this area of Power BI.  Your time spent will be well worth it.

To access the Options:  Open Power BI Desktop, click on File > Options and Settings.

Then review the available options.  You will notice you have both Global and Current File settings.  When you change the current file settings it only applies to this .pbix file.  This is handy when you need to save regional settings or tweak settings based on a special report.

What is Health Informatics?

When you search the internet for health informatics the first few pages of results are mostly college programs.  These do a good job explaining their programs and what you might do after graduation with healthcare data.  However, they explore what it’s like to work in the field and the variety of data and questions you will cover.  I’ve been doing reporting and data analytic projects for over 20 years.  I’ve worked specifically in healthcare analytics for over 10 years and often get asked what is the difference between working in healthcare and other industries.  The answer is the data and regulations around the data.

Health informatics is what business intelligence is to non-healthcare companies.  Depending upon what type of business your healthcare company is such as provider, payer, hospital, etc.  How you use data and your goals can vary based upon your business objectives.  Data is the core of healthcare analytics and must be stored in a manner that makes it easy to organize, catalog and retrieve.

Common Data Sources for health informatics for health care data:

  • Electronic Medical Records (EMRs)
    • Data collected and stored at a patient level from a provider or hospital
  • Electronic Health Records (EHRs)
    • A collection of EMR data from various providers that provides medical history overall
  • Claims Data
    • Details about patient visits submitted as a claim to health care payers
  • Authorizations Data
    • Health care information required to have a heath care payer approve a procedure a medically necessary
  • Patient Demographics
    • Data specific to the patient or member such as gender, height, or weight.  Also includes information about where they live.
  • Health Surveys
    • Heath information voluntarily submitted that provides medical self assessment of current health metrics
  • Clinical Data
  • Trial Data
  • CRM Data

For context, here are some common questions that are asked from health informatics.

  • How many people received the flu shot?
    • Of those how many reported having the flu?
  • Who are the members that have the highest claims?
    • What can we do to further mitigate additional claims?
  • What percentage of people have had a yearly physical?
    • What is the medical loss ratio on people that had a yearly physical vs those without?
  • What is the average length of stay for an inpatient procedure?
  • What are we seeing in the data that could improve patient outcomes for transplants?

Examples of Healthcare Data for Informatics

Getting data and analytics out of your healthcare data can be challenging, however, when done correctly it can dramatically increase the insights into your business.  Below are some examples of the types of analytics that can be done with various healthcare data.

  • Social Determinants of Health
    • Mash up demographic data with 3rd party data
    • Census data
  • Population Health
    • Data to track and impact the large groups of people
  • Merging Authorization data and claim data
    • Compare authorizations to actual billing
  • Machine Learning

Health Informatics Data Systems Examples

Integration of data can come from a variety of sources.  Creating deep health care analytics based on three core areas: clinical informatics, health information, and medical informatics.  Some of the common types of health providers are listed below.  Each one will have many different applications that collect data about patients.  These applications are designed to run the business of healthcare and to manage the healthcare information (clinical data) of the people they serve.  Often you will need to combine data from both types of applications to produce richer health informatics and data analytics.
